How to evaluate this requirement
Bring a small set of representative shipments rather than only the simplest move. Include a recurring lane on your existing carrier agreement, an irregular shipment that usually needs a spot quote, and a delivery with special services. Include the shipment records, booked quotes and final invoices where available. Remove personal or commercially sensitive information that is unnecessary for the demonstration.
First test pricing breadth. Identify which displayed offer uses your agreement, which is a direct carrier dynamic offer, which is spot pricing and which comes from each national 3PL source. Ask whether the shown options are executable for your account and what prevents an option from appearing. Verify that a different service or missing accessorial does not masquerade as a lower equivalent price.
Next test the workflow your team will own. Have the intended user create a shipment, choose an offer, find the shipping documents, inspect tracking and locate the invoice. Ask how the coordinator corrects a mistake, finds proof of delivery and escalates a billing question. Record where vendor assistance is required and whether that assistance is included in the proposed service.
Finally request a customer-specific LTL explanation. Change dimensions, class, weight or distance and ask for the separate linehaul, fuel surcharge and accessorial views. Have the presenter explain data completeness, comparison periods and reconciliation. Leave with a written scope listing supported sources, modules, setup tasks, responsibilities and fees. A useful demo ends with evidence your team can repeat, not a collection of attractive screens that nobody has tested against daily work.
